Team Summary

As part of Visa’s Strategy & Operations division, the Business Services Team (BST) is responsible for providing consistently reliable, high quality administrative support and process improvement to the Australian, New Zealand & South Pacific (AuNZSP) business. Business Services does this by championing process excellence and implementation, providing superior executive administration support and delivering a high standard of site management services across three offices. A Business Services Associate provides administrative support to the Head of Product and Solutions and reports to the Business Services Team Manager, AuNZSP.

As a Member Of The Business Services Team

What a Business Services Associate does at Visa:

  • You will be required to take up and action requests submitted into the Team’s portal. These requests are from the wider AuNZSP team and range from basic admin to complex tasks, events and projects.
  • Build and deliver improved capabilities for the business by analyzing existing processes, investigating gaps and pain-points, identifying and testing solutions, tracking key measures of success, providing training and documenting procedures.
  • Liaise with cross functional teams globally to discover new technologies and create recommendations.
  • Document processes, key learnings and best practices that can be referenced across the business.
  • Embrace a teamwork-based environment and mindset, through contributing collaboratively, mentoring, and supporting individuals in the BST who also provide business solutions to the AuNZSP business.
  • Work with sourcing and controllership teams and ensure key internal controls, policies and procedures are adhered to and completed when engaging with suppliers and vendor contactors.
  • Support team onboarding admin including requesting access to multiple internal systems, Shared Drive etc.
  • Participate in weekly BST meetings, share knowledge and status of current duties and responsibilities.

For The Head Of Product And Solutions

  • Provide high standard of secretarial and administrative support.
  • Closely monitor and manage a complex and highly fluid calendar. Manage requests from all levels of the business and external partners. Use sound judgement and understand what the key priorities are.
  • Proactively plan and coordinate regular and ad hoc complex stakeholder meetings across multiple time zones.
  • Build and maintain effective and cooperative business relationships with internal stakeholders and external clients including merchants, financial institutions and other third-party partners.
  • Oversee logistics for global client study tours, domestic and international travel bookings and event management while anticipating and managing any potential conflicts.
  • Coordinate, plan and manage administrative logistics for offsite team-building events, and other employee engagement related activities. Capable and creative thinking required when planning events.
  • For client meetings ensure the office environment is meeting ready, pre-register incoming guests, oversee room set up including equipment, catering orders, deliveries & set up. Post meeting, ensure the room is clean and reset for other users, clean away catering.
  • Prepare documents including agendas, emails, letters, presentations, excel spreadsheets, pre-reading material, charts and documents on behalf of the Head of Product & Solutions.
  • Embrace new technologies and support Leadership Team members and their teams with adoption.
  • Work closely with admin teams across the organization, this includes the ANZSP business, Asia Pacific and United States.
  • Work with sourcing and controllership teams and ensure key internal controls, policies and procedures are adhered to and completed when engaging with suppliers and vendor contactors.
  • Credit card expense management, including travel and entertainment expense reconciliation via Concur, goods and services purchasing via Ariba and timely invoice processing.
  • Provide administrative assistance for sponsorship agreements.
  • Support team functions and activities to help build culture, such as team meetings, offsites and other activities.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office two days a week, Tuesdays and Wednesdays with a general guidepost of being in the office 50% of the time based on business needs.

What You Will Need


  • A background in providing strong administrative support to leaders and their teams.
  • A Diploma of Business Administration or equivalent.
  • Be tech savvy with strong proficiency in Microsoft applications including Teams, Dynamics, Sharepoint, Outlook, PowerPoint, Excel and Word, also Concur, Ariba.
  • Have strong client relationship and communication skills with a high level of discretion and sensitivity when dealing with confidential matters.
  • Have strong organizational skills.
  • Be confident with the ability to influence and negotiate with others.
  • Have excellent verbal and written communication skills.
